A commercial gym equipment receiving inspection should begin before the container doors are opened. Use Package Marks to Control Mixed Orders

Every carton, pallet or wooden case should be connected to a model or package number. Protective film should remain in place when it does not block the inspection point.

For selectorized equipment, verify that guide rods, weight plates and shrouds remain straight and protected. For benches and racks, check frame edges, adjustment mechanisms and upholstery corners. For free weights, confirm piece count, weight markings and surface condition.

Create a Shortage and Damage Report

A useful report links each issue to the purchase order, model, package mark and photo set. Describe facts, not assumptions. Write “carton corner crushed and frame paint scratched at lower left” instead of “factory packed badly.” State whether the equipment can still be installed, needs a replacement part or must remain quarantined.

Once package counts and visible conditions are confirmed, mark each item as released, conditional release or hold. The installation team should receive the correct hardware bags, manuals and model list. Items on hold should not be mixed into the normal project flow.
